Established in November 2009, the Hong Kong Green Building Council (HKGBC) is the leading body driving the promotion and creation of green and sustainable buildings throughout the Hong Kong SAR through engagement with the industry, community and government. Programme secretariat services for the HKGBC are being provided by the Business Environment Council (BEC), one of the HKGBC’s four founding members.

BEC is seeking a dedicated and enthusiastic professional to assist on the delivery of HKGBC’s activities. The position reports to HKGBC’s Executive Director (Programme Secretariat).

Executive Secretary

Responsibilities

  • Provide comprehensive and proactive secretarial and administrative support to the Senior Management
  • Collect and review all incoming mail for the Senior Management
  • Preparation of minutes, documents, letters, and presentation materials.
  • Liaise and co-ordinate meetings or events with internal staff, external parties and other personal assistants.
  • Organize extensive travel arrangements including flight, hotel bookings and visa applications.
  • Handle Filing and proper records
  • Handle or co-coordinate closely with Department Heads within the organization in carrying ad hoc projects, as assigned by Senior Management.
  • Be responsible for the office administration and shop administration including inventory management, repair and maintenance, office supplies procurement and office renovation
  • Website update
  • Ad hoc projects

Requirements

  • Secretarial Studies, Commercial Studies, or equivalent is an advantage
  • Minimum 3 years’ relevant working experience for senior or top management
  • Experience in handling book-keeping and banking arrangement
  • Fluent in both written and spoken English and Chinese (Cantonese and Putonghua)
  • Good computer skills, including MS Outlook, World Excel, PowerPoint and Chinese Word
  • Good skills at taking minutes of meetings.
  • Mature, detail-minded, self-motivated and well-organised.
  • Good communication and interpersonal skills.
  • Ability to work under pressure and heavy workload in a dynamic environment, and can complete task within deadline.

  • Ability to coordinate contractors to ensure a quality product on time
  • Excellent report writing, presentation and verbal communication skills in Chinese and English
